Why the clinic processes enquiries
When you write or ring about an appointment or a service, the clinic processes those details to reply and, if a visit follows, to prepare it. The basis is Article 6(1)(b) UK GDPR, steps taken at your request before a contract, and Article 6(1)(f) for the clinic's legitimate interest in keeping reliable records of the exchange.
How the enquiry button behaves
The button on the contact page opens your own email program with a draft ready. Nowhere on its way does the message pass through a form service or a database belonging to the website; the clinic's site keeps no record of what you typed.
What a typical message includes
Ordinarily a name, a telephone number, an email address and a short description of what you need. Clinical details should wait for the consultation itself; send only what the first conversation needs.
Who else ever sees it
Only the clinic team members who answer the mailbox, plus the supplier that provides email and site hosting under a processing agreement. Records are never traded, never fed to marketing lists and not forwarded to third parties outside the clinic's work.

Enquiries that lead to appointments join the patient's paper file at the clinic and stay while the matter is live. Unconverted enquiries are checked with the correspondence in spring and autumn and removed when the thread has clearly ended.
